What to check in the order file
The document baseline should include the original PO, defect evidence, supplier response, credit note, replacement invoice, packing list, freight agreement, and next-order payment record.
A common case is a supplier promising replacement parts in the next shipment while finance later pays the next invoice without deducting the agreed credit. For replacement shipment tracking, the buyer does not need to reject every unusual request.
